Texts by default on documents and emails

tracezilla provides some default texts and formulas on your documents. There is also a default text, for the email message for outgoing documents to customers, suppliers, forwarders, producers, etc.

You can create your own default text for the email sent with outgoing documents. The default text can be overwritten on each individual email.

You can also insert a default text at the bottom of your documents, e.g. declarations for imported goods, authorization numbers, etc. This will typically be texts mandatory on delivery notes and invoices, to meet applicable requirements and legislation.

 

Create you own default text on e-mails with outgoing documents

If you wish to create your own unique default text, you can follow the steps below.

  1. Click the company name in the upper right corner and choose Company settings in the drop-down menu.
  2. Click Open at Translations on the bottom of the centre column.
  3. At the top of the page it is shown which language is displayed. Choose the language of the text you wish to add. You can add more languages by activating them in your Languages settings. Read more about languages here.
  4. In the search field type EMAIL_MESSAGE.
  5. Click the pencil and paper icon to edit the default text.
  6. Click Save when finished.

NB! For the text to adjust automatically to the e-mail recipient, and for document numbers and references to adjust continuesly, you must leave the code strings intact.

Create a standard text to appear on documents

You can insert a text, to appear on all documents sorted by type, e.g. all order confirmations, all invoices etc.

  1. Click the company name in the upper right corner. Choose Company settings in the drop-down menu.
  2. Click **Open at **Translations at the bottom of the centre column.
  3. At the top of the page it is shown which language is displayed. Choose the language of the text you wish to add. You can add more languages by activating them in your Languages settings. Read more about languages here.
  4. Scroll down to the text string you wish to edit, or use the search field at the top of the page. If you wish to insert a standard text on your invoices search for CONDITION_INVOICE
  5. Click the pencil icon to edit the text.
  6. Enter the text of your choice and click** Save.**

For companies covered by organic inspection

Food companies covered by organic inspection must state the code of the control body on transport documents or on the transport packaging label.

tracezilla supports this by enabling you to:

  • Add “ECO” or “Organic” to the SKU name.
  • Insert a default text on your transport documents, e.g. “Certified Organic by Authority: DK-ØKO-100”
