Compass Group integration

Compass Group Denmark is a leader provider within Food Service solutions, and works proactively with sustainability. This is reflected in the fact that Compass Group sets documentation requirements for the goods they receive.

At tracezilla, we 100% support these documentation requirements, which are consumers’ guarantee that the product is sourced and produced in accordance with the principles of the certification scheme.

About the integration

Are you a supplier to Compass Group and at the same time a tracezilla user? Then you can take advantage of the fact that the information for the monthly report is registered in the system. This eliminates the need to manually compose a report at short notice each month.

Once the integration is set up, simply make sure to update your master data (see the section Maintenance of master data). With just four clicks, you can submit a report every month.

 

This tutorial is divided into 4 general steps: 1) Create tags for customers, 2) Create tags for product groups, 3) Add Compass Group location numbers and 4) Connect and configure the integration.

Step 1: Create tags for customers

In tracezilla, tags are used, among other things, to set up rules for the functionality.

In this step, tags are used to indicate which customers are part of the Compass Group.

  1. Click the company name in the upper right corner and select Company settings.
  2. Click Tags.
  3. Click Add new at the top right.
  4. Name the tag e.g. “Compass Group”.
  5. Mark Partners on the right in the check menu.
  6. It is optional to select a Class.
  7. Click Save.

 

Tag the relevant partners

Once you have created the tag, it is added to the customers who are part of the Compass Group.

  1. Click Partners in the top menu.
  2. Use the filters on the left to search for the relevant partners.
  3. Check the box to the left of the partner or partners that are part of the Compass Group.
  4. Click Bulk actions and select Add tag.
  5. Select the tag that you have just created e.g. “Compass Group”.
  6. Click Yes, confirm!.

 

If you do not produce yourself, you must provide the manufacturer information to Compass Group. In that case, the above procedure is used to create a tag for your suppliers (manufacturers) as well.

Step 2: Create tags for product groups

Tags can be used to categorize your SKUs. If you have already categorized your SKUs using tags, you can skip this step.

It is optional to add item group tags.

If you sell non-food items to Compass Group Denmark, you need to create a tag for this. If your products are included in the list of base goods, you need to create a tag for these products, too.

  1. Click the company name in the upper right corner and select Company settings.
  2. Click Tags.
  3. Click Add New.
  4. Name the tag e.g. “Sweets”, “Beverages” ect.
  5. Mark Stock Keeping Units on the right in the check menu.
  6. Select the classification Product group.
  7. Click Save.
  8. You can repeat steps 3-7 to add more tags. You can create as many product group tags as you like and up to three item group tags.

 

Tag the relevant SKUs

Once you have created tags, they need to be added to your Stock Keeping Units.

  1. Click Warehouse in the top menu and select Stock Keeping Units.
  2. Use the filters on the left to search for the relevant SKU codes or names.
  3. Check the box to the left of the SKUs that should have a specific tag.
  4. Click Bulk actions and select Add Tag.
  5. Search for and select the tag that you have just created e.g. “Sweets”.
  6. Click Yes, confirm!

 

 

Step 3: Add Compass Group location numbers

Compass Group Denmark assigns a number to the addresses where the goods are delivered. The location number is entered for locations in the tracezilla.

  1. Click Partners in the top menu.
  2. Search for COMPASS GROUP DANMARK A/S. If you have not created the partner yet, follow this tutorial.
  3. Click the partner. Then click the blue button next to the location and select Edit.
  4. Enter the location number in the Reference code field.
  5. Click Save.

Add a location number to each location created.

 

 

Step 4: Connect and configure the integration

  1. Click the company name at the top right and select Company Settings.
  2. Click Built-in integrations.
  3. Click Connect and configure in the Compass Group Denmark A/S section.
  4. Select the newly created tag from Step 1 in the Partner tag for Compass Group customers field.
  5. If applicable, select a manufacturer’s tag if you do not produce the goods you sell.
  6. If applicable, select a tag in the field Part of CG basic good list.
  7. Select a non-food tag if relevant.
  8. Enter all your product group tags that you have created in Step 2.
  9. If relevant, select 1-3 item group tags if you have added them in Step 2.
  10. Select Yes in the field Enable this integration.
  11. Click Save Configuration.

Once the integration is enabled and you have clicked save, refresh your browser window. A new menu item has now appeared under Sales in the top menu.

 

 

How to send the report

  1. Click Sales in the top menu and select Reporting.
  2. Select month and correct the year if necessary.
  3. Click Send.

If you want to archive the report that you have sent to Compass Group, you can click Download. A CSV file will be downloaded.

The report is generated on the basis of the goods that have been invoiced in a given month, based on the invoice date.

 

 

Maintenance of master data

In order for the correct information to appear in the report to Compass Group Denmark, make sure that your master data is up to date and correct.

 

Below you can see what information is used for the reporting and where it is indicated in tracezilla.

Column Explanation
Compass enhedsnummer See step 3 in the above.
Produktgruppe Indicated by tags. See step 2 in the above.
Varenummer You enter a SKU code when creating the SKU.
EAN You can enter a EAN when creating the SKU on the tab Names & ident.
Varenavn You enter a SKU name when creating the SKU.
Oprindelsesland This is indicated when the lot line is added to a purchase order or production order (produced lots). You can set a default country of origin for the SKU.
Enhedsbetegnelse You select a unit of measure when creating the SKU on the tab Measures & Units.
Producent varenummer If you do not produce the goods yourself, you need to create a tag for your suppliers. See step 1 in the above. The SKU code is added using a partner relation.
Producentnavn If you do not produce the goods yourself, you need to create a tag for your suppliers. See step 1 in the above.
Producentens GLN If you do not produce the goods yourself, you need to create a tag for your suppliers. See step 1 in the above. GLN is added to the manufacturer’s location.
Enhedspris The information comes from the sales order. You can advantageously enter the price in a sales price list, so you do not have to update the price manually when creating a sales order.
Bruttovægt This is indicated when creating the SKU on the Measures & Units tab.
Nettovægt This is indicated when creating the SKU on the Measures & Units tab.
Basisvarer If your products are included in the list of base goods, you need to create a tag for these products. See step 2 in the above.
Fødevare If you sell non-food products to Compass Group Denmark, you need to create a tag for this. See step 2 in the above.
Økologi This is specified when creating the SKU on the Certification Bodies tab.
Økologiregnskab This is specified when creating the SKU on the Certification Bodies tab.
MSC This is specified when creating the SKU on the Certification Bodies tab.
ASC This is specified when creating the SKU on the Certification Bodies tab.
Fairtrade This is specified when creating the SKU on the Certification Bodies tab.
Rainforrest Alliance This is specified when creating the SKU on the Certification Bodies tab.
Indeholder soya To report the content of soya, the setup for the excise duties report) is used, even if no tax is to be paid for the goods. Please note that the report for CGDK do not take the amount of soya into account. Therefore, you can simply enter 1 on the SKU on the Quantity Declarations tab.
Indeholder palmeolie To report the content of palm oil, the setup for the excise duties report) is used, even if no tax is to be paid for the goods. Please note that the report for CGDK do not take the amount of palm oil into account. Therefore, you can simply enter 1 on the SKU on the Quantity Declarations tab.
Varegruppe 1-3 You can create up to 3 tags to categorize your SKUs into item groups. See step 2 in the above.
