Zoho Books integration

Zoho Books is an online accounting software. With the tracezilla integration to Zoho Books you can sync your customers (vendors), suppliers, SKUs and services. This, from tracezilla to Zoho Books, or vice versa.

The integration requires that you already have a Zoho Books account set up.

 

Step 1/7: Connect

  1. Click your company name in the upper right corner, and select Company Settings.
  2. Click Built-In Integrations in the Extensions & Integrations section.
  3. Click Connect and configure in the Zoho Books section.
  4. Select data center in the drop-down menu.
  5. Enter the Edition of your Zoho Books account. You can select either Australia, Canada, Gulf Cooperation Counsil (GCC), India, United Kingdom, United States or Global.
  6. Select your organization.
  7. Click Save and go to next step.

 

Step 2/7: Synchronization of partners

In tracezilla, the term “Partners” cover both suppliers (vendors) and customers. A partner can both be a supplier and a customer, and you avoid having two acounts for the same partner. If a partner is both a customer and supplier, make sure the names are in Zoho Books are identical to be sure the partner is created as one in tracezilla.

  1. You can give your partner a tag. The fields are autofilled with the tag Customer and Supplier.
  2. When ready, select Yes in the drop-down menu of Perform initial sync of customers and suppliers from Zoho Books to tracezilla.
  3. Click Save and go to next step.

In the future, your partners will be synchronized every time you create a new partner in tracezilla. This means that customers will automatically be created in Zoho Books.

 

Step 3/7: Synchronization of SKUs and services

Items in Zoho Books are divided into SKUs and Services in tracezilla.

  1. If you have already created SKUs and services in tracezilla, you can get them transferred to Zoho Books by selecting Yes in the field Create SKUs and Services as Items in Zoho Books.

  2. If you have already created Items in Zoho Books, you can have them transferred to tracezilla as SKUs and services by selecting Yes in the field Create Items from Zoho Books as SKUs and Services in tracezilla.
  3. Click Save and go to next step.

 

Step 4/7: Synchronization of expenses

You can set up your integration so that selected expenses will be transferred from Zoho Books to tracezilla. This is optional. The aim is to make a good cost management by linking costs to specific lots or orders and thereby enable having more exact cost prices.

This requires that you have enabled Actual Cost Pricing in Extensions. To do so, go to your Company settings and click Extensions under the Extensions & Integrations section. Then enable Actual Cost Pricing.

  1. Select the starting date from which the expenses must be pulled.
  2. Pick the tracezilla category that should be used for the different accounts in Zoho Books. Leave fields empty if you do not wish to fetch bills from the account.

 

Step 5/7: Sales

You can select different invoice templates for different currencies.

  1. Under VATs and Sales Taxes select the relevant VAT percentage. The currency is the one selected in your company setup.
  2. Select an invoice template for your default currency.
  3. Select an alternative currency and template.
  4. Click Save and go to next step.

 

Step 6/7: Inventory Valuation & COGS

You can choose to use the expected or the actual inventory value when transferring the value from tracezilla to Zoho Books. Read more about inventory valuation here.

  1. If you wish to use the expected inventory value select this in the drop-down menu.

    or

    If you wish to use the actual inventory value, Actual Cost Pricing in Extensions must be enabled. To do so, go to your Company settings and click Extensions under the Extensions & Integrations section. Then enable Actual Cost Pricing.

  2. Select an account for Assets, Inventory.

    The inventory value in tracezilla is transferred to the selected account in Zoho Books. Afterwards it can manually be transferred to the relevant GL accounts in Zoho Books.
  3. Select an account for Contra, COGS & value increase.
  4. Click Save and go to next step.

 

Step 7/7: Enable integration

  1. Confirm that you want to enable the integration, by selecting Yes in the drop-down menu.
  2. Click Save & Finish.
