About miscellaneous-partners

In tracezilla it is possible to create a partner to be used for various, potential costumers or private customers.

In case you want to forward samples to potential customers, but you do not want to create partner accounts for these - perhaps - future customers, you can create a miscellaneous partner for this purpose.

When the miscellaneous partner is added to a sales order the name of the potential customer will not come from the partner name as under normal circumstances. Instead, the name will be retrieved from the location, if a name has been entered in the field.

By choosing this procedure you can create and sent documents to the potential customer. Be aware that statistic information in reports, for example the sales report, will be collected under the same partner.

 

Procedure: How to create the miscellaneous partner

1. Click Partner in the top menu

2. Click Add Partner in the top right corner in order to create the partner

3. As a minimum fill in the the field Partner Name and Country. The partner can be named ‘Miscellaneous’.

4. Click Save and Add location.

 

Procedure: How to create the location

1. Type a location name easy to recognize when you create the sales order. The name is for internal use only and will not appear in documents.

2. I the field Name of Receiver enter the name of the potential customer.

3. Enter the address of the receiver (street name and number), postal code and city.

4. Click Save.

 

Procedure: Create sales order for samples

1. Click Sales in the top men and select Order in the drop down menu.

2. Click Create order in the top right corner

3. Select the miscellaneous partner in the field Customer and Deliver to. Select the location to which the customers name and address is associated.

4. Fill in the rest of the order details, delivery information and maybe a remarks if necessary.

5. Click Save

6. Add the products as you normally would do on a regular sales order. Write the quantity of samples in the field ‘Quantity’ and ‘Including Free Units’ ie if you send 5 pieces of a product to a potential customer, you need to enter ‘5’ in both fields.

7. Click Select lots in order to pick the lots from which the samples are selected.

8. You can now create the document as you would normally do on a regular order. For example, click the arrow next to the document Delivery note and select Send with e-mail. Enter the e-mail address in the field Recipient. NB! Remember to edit the default message! Be sure to change the name of the potential customer. Click Send.

In future, you only have to create a new location and a new contact under the miscellaneous partner when you want to send samples to a potential customer.
